How to reduce no-shows in your calendar

A no-show — a booked appointment the client doesn't turn up to — is a double loss: the empty slot and the customer who may not return. The good news is most are prevented with a system, not luck.

Most no-shows are forgetfulness, not snubs

Few people miss an appointment on purpose. They miss it because they forgot, because they booked it three weeks ago, or because something came up and they didn't know how to let you know easily. All three have a solution.

If you treat a no-show as disrespect, you won't fix it. If you treat it as a reminder-and-easy-rescheduling problem, you will.

The reminder, at the right time and on the right channel

A WhatsApp reminder 24 hours before and another on the day cuts no-shows noticeably. WhatsApp gets read; SMS and email, far less.

And the reminder must let them confirm or reschedule in a single message. The easier it is to let you know, the more people will — and a slot freed in time can be filled again.

Automate it so it doesn't depend on anyone

The problem with manual reminders is that on the day the front desk is swamped, they don't get sent. If the system sends them on its own, for every appointment, with no one having to think about it, you stop depending on having a good day.

An AI receptionist sends the reminder, collects the confirmation, and if someone cancels, frees the slot and can even offer it to someone on a waiting list.
