Estate agencies: whoever answers the portal lead first keeps it

In property, leads aren't scarce — they're shared. When someone requests details on a flat through a portal, they've often requested details on five more the same afternoon. The first agency to reply with something useful keeps the conversation; the rest arrive at a door already closed.

A portal lead expires in minutes, not days

The useful window is short because the buyer or tenant is comparing while the interest is hot. If your agent is out on a viewing (which is where they should be), that lead has gone cold before anyone reads it.

An AI agent replies immediately with the specific details of the property, answers the obvious questions (service charges, aspect, whether pets are allowed, whether there's a lift) and proposes a day and time to view. It doesn't replace the agent: it holds their place in the conversation until they can join it.

Qualify before the viewing, not during it

The viewing is an estate agency's expensive resource: travel, keys, a slot agreed with the owner. Every viewing with someone who can't buy or was after something else is a lost afternoon for everyone.

The agent can ask the awkward questions without it feeling like an interrogation: what budget you have in mind, whether you need financing or already have it, what your timeline is, whether you have to sell something first. With those four answers, your agent walks into the viewing knowing who they're talking to.

Owners come in on the same phone line

Winning listings is half the business and often shares a channel with demand. An owner wanting to know what their flat is worth, or replying to a listing campaign, can't be left waiting because the line was busy with enquiries about an advert.

Splitting the two flows from the first question ("are you looking to buy or rent, or do you want to put a property on the market?") and routing each into its own track is one of the simplest automations and one of the most noticeable.

What not to delegate

Anything that is negotiation, valuation or advice. No valuation figure for a property, no opinion on whether an offer is good, no price commitment. Those conversations are the reason the client pays you a commission.
